How many types of email authentication?

Typically, an email server will allow you to send out messages by verified email account. (authorisation) If you can send messages without authentication of user that means anyone can send messages to others, which is not safe surely. And the identity of the email hosting services are as follows.

Using Username and Password 

This method is the most popular and widely used because it can be set in the end user email client easily. Mostly, the user just authen by username and password which are the same as Incoming Server.


Whitelist IP 

This way, the email hosting services provider allow a client who is a large organisation and ensure that the network is secure enough to permit any computer's users sending email messages out without any verification. Simply being in the actual IP address of the admin you have provided to the provider.

Email Header

How do I know that my inbox is full?

People who have no knowledge of computers and email hosting technical can be confusing when they found that they didn't get any messages with unknown reason. This could mean that your inbox was full. There has other symptoms which show that your inbox is full.



1. Can't receive new email messages but can send email messages to others.
2. People who sent mails to you will get bounce message.
3. When you tried to send a message to yourself, your will not get any bounce message.

Troubleshooting on a full inbox


A simple solution is to delete your old messages in inbox which you do not need to keep around 10-100 emails (Do not forget to remove messages from 'Trash') After that, you will get new messages into inbox.

If you are using with free hosted email service, you will not be able to buy more space because the service provider determined the email account's space. The only way you can do is to remove the old messages. 

If you using email hosting service from the provider, you can send an email to support team for increasing extra space. 

Using email with an email client programs, the authors strongly recommend that you should add the email account type POP on the program in order to copy messages on the server to your computer and config to remove messages from server every 14 days or more. It means your inbox is not full eternally. Also it backups messages into your computer automatically.

[Outlook] How to add Gmail account (Google) Type: POP3

Before adding the Gmail Account on MS Outlook, you have to enable POP type on Gmail.com.

How to enable POP on Gmail.com

  1. On the right side, click on an icon ‘Configuration’ 
  2. Choose ‘Settings’
  3. Click ‘Forwarding and POP/IMAP’
  4. Enable POP for all mail
  5. Save Changes

1. File > info > Add Account

4. Type your information
      Account Type : POP
      Incoming mail server: imap.gmail.com

      Click ‘More Settings ...’

5. On the Internet E-mail Settings window, Tab: Outgoing Server 
     Check ‘My outgoing server (SMTP) requires authentication’

Check ‘My outgoing server (SMTP) requires authentication’Then, go to tab: advanced


6. Tab: Advanced
    Incoming server (POP) : 995 (SSL)
    Outgoing server (SMTP) : 587 (TLS)
    

Click 'OK'
7. Click on 'Test Account Settings...'
